Job Description
DESCRIPTION DOCUMENT CONTROL:-
- Establishing the firm Document Control system roles and process
- Control all aspects of project documentation on multiple simultaneous projects, utilizing various control methods/systems.
- Prepare, operate and update Document Control Procedures in line with the Company’s Document Management System.
- Ensure proper document control support is given to each project.
- Produce and maintain Document Progress Reports to Project Managers.
- Ensure all documentation provided is as per Client quality formatting requirements.
- Formatting may include correcting templates, fonts and style, pagination and numbering and other activities that may be required to achieve a client’s documentation requirements.
- Create Document Control and correspondence folders for individual projects.
- Work in strict co-operation with the Project Manager to ensure project progress status integration.
- Ensure all templates used with the department conform to the Company standard.
- Perform duties as required to assist the project team.
- Collect and maintain files of the latest revision level documentation necessary to define product configuration and control manufacturing processes.
- Timely distribution of latest revision level documentation to all appropriate users and ensure that obsolete documentation is removed from distribution.
- Maintain a computer database of all filed documentation that ensures fast retrieval of documents.
- Perform clerical typing duties to generate documents as necessary.
- Implementation of the Project File Structure.
- Issuing and tracking of all documents.
- Filing all project related documentation in electronic and hard copy format.
- Supports technical projects and departments.
- Receives, catalogues and stores hard copies and electronic copies of all technical drawings, reports and related information in an orderly manner, in line with policies and procedures.
- Allocates and controls the document numbering system for the project work.
- Works with precision to ensure that all electronic and hard copy filing is accurate and is easily retrievable.
- Responds in a timely manner to requests to retrieve information, information searches and general requests for support from project/department personnel.
- Accurately updates information as required.
- The role of Document Controller is critical in the support of technical teams, departments and projects in the filing and storing of project related documentation.
- Documentation may be of a confidential or sensitive nature and need to be stored in line with company and industry guidelines.
- Create and revise various types of engineering and technical documents for our high technology manufacturing environment
- Review and suggest improvements to proposed documents
- Design and create simple illustrations within documentation
- Utilize computer skills and graphics expertise to create and update high quality document
Job Requirements
Qualifications:
- Very good in English
- Bachelor degree or architecture degree Experience from 5 to 8.
- Proficient in MS Tools, Excel, PowerPoint & Word.
- Strong organizational skills and attention to detail, and very meticulous and patient.
- Excellent communication and interpersonal skills.
