Job Description

Document Management: Oversee the creation, distribution, organization, storage, retrieval, and disposal of documents, ensuring compliance with company policies and procedures.

Document Control Systems: Implement and maintain document control systems or software to manage electronic and physical documents, including version control, and access permissions.

Document Review and Approval: Coordinate the review and approval process for documents, ensuring that all stakeholders provide input and sign off on final versions as necessary.

Document Formatting and Standards: Ensure that documents adhere to formatting guidelines and standards, including consistent use of templates, fonts, colors, and branding elements.

Document Tracking and Reporting: Track the status and progress of documents throughout their lifecycle, generating reports and metrics to monitor document management performance and compliance.

Quality Assurance: Support quality management systems by ensuring that documents are accurate, up-to-date, and meet regulatory requirements and industry standards.

Document Security: Maintain the confidentiality, integrity, and security of sensitive or confidential documents, implementing appropriate access controls and encryption measures as needed.

Training and Support: Provide training and support to employees on document management procedures, software tools, and best practices to ensure compliance and efficiency.

Archiving and Records Management: Establish procedures for archiving inactive documents and records, including retention schedules, storage locations, and disposal methods, in compliance with legal and regulatory requirements.

Change Management: Facilitate change management processes by ensuring that document revisions are properly documented, communicated, and implemented according to change control procedures.

Collaboration and Communication: Facilitate collaboration and communication among stakeholders involved in document creation, review, and approval processes, fostering a culture of transparency and accountability.

Continuous Improvement: Identify opportunities for process improvements and efficiency gains in document management workflows, recommending and implementing changes as appropriate.

Job Requirements

  • Proven work experience as a Document Controller or similar role
  • Familiarity with project management
  • Basic knowledge of labor and corporate law
  • Hands-on experience with MS Office and MS Excel
  • Proficient typing and editing skills
  • Data organization skills
  • Attention to detail
  • BSc degree in Project Management or relevant field
