Job Description
- Coordinate the sales team by managing schedules, filing important documents and communicating relevant information
- Ensure the adequacy of sales-related equipment or material
- Respond to complaints from customers and give after-sales support when requested
- Store and sort financial and non-financial data in electronic form and present reports
- Handle the processing of all orders with accuracy and timeliness
- Inform clients of unforeseen delays or problems
- Monitor the team’s progress, identify shortcomings and propose improvements
- Assist in the preparation and organizing of promotional material or events
- Ensure adherence to laws and policies
- Ensure organization assets such as Fixtures, Furniture, Electronic Equipment, Cars etc. are intact and are in good working condition and if requires scheduling the on-time maintenance to avoid downtime;
- Make sure all utilities (electricity, internet, water etc.) are properly utilized and the bills are timely paid along with controlling the usage to avoid cost runs or misused;
- Ensure organization assets are properly monitored, assigned and account and should not be in any case misused or exploited
- Ensure that list of assets assigned to each employee is properly recorded and accounted for and collected back before going on vacation or severance
- Monitor telephone usage & mobile billing and take corrective actions if required with staff or with service provider.
- Any other task assigned by the Management/Branch Manager/Department Head.
- Coordinates and prepares for meetings and special events by assisting with the sales team.
- Confirmation, reserving rooms and arranging for refreshments and necessary equipment
- duplicates, sorts and distributes various documents;
- Schedules; Sends, receives and distributes faxes and e-mail, mails; sorts, distributes, and
- redirects mail;
- Maintains inventory of office supplies and orders as necessary; operates standard office
- Equipment.
- Pick and drop guests from airport to office or other location according to the requirement.
Job Requirements
- Proven experience in sales; experience as a sales coordinator or in other administrative positions will be considered a plus;
- Good computer skills (MS Office)
- Proficiency in English
- Well-organized and responsible with an aptitude in problem-solving
- Excellent verbal and written communication skills
- A team player with high level of dedication
- Accurately type and learn to efficiently use various software applications
- Communicate effectively in oral and written form
- Follow instructions; organize and prioritize work;
- Read and apply rules, regulations, and procedures;
- Learn and follow standard office procedures
- Learn appropriate filing and record keeping systems;
- Work cooperatively and effectively with customers and staff.
