Job Description

Definition:

A depot manager is responsible for managing all the functions of depot supplies, and from staffing and customer relationships to maintenance of machinery – and, ultimately, the depot’s profitability.

Will have people and budgetary management responsibility.

Overall Purpose of the Role:

Responsible for delivering all aspects of the Supplier Operations Quality Assurance function on an on-going basis to ensure that the business’ products and services are fit for purpose and meet customer expectations. Responsible for providing good management, leadership and an outstanding environment for all staff. Preparing and enforcing policies to establish a culture of health and safety. Enhancing teamwork and developing employees’ relations.

Key Responsibilities:

Overall Responsibilities:

  • Establishes and coordinates a communication system involving transaction and activities among Property Managers and the Central Office.
  • Hires, trains, supervises, develops, and terminates the employment of those supervised in accordance with company policies and directives; performs performance evaluations on supervised employees; assists Property Managers with site-level employees. Approves all new hires, status changes, and terminations for on-site personnel.
  • Monitors, assists, and makes recommendations to improve marketing activities; reviews occupancy status; recommends rent schedules.
  • Reviews/audits property administrative, accounting, and maintenance areas to ensure compliance with established policies and procedures; approves all exceptions of same.
  • Inspects properties to ensure the highest standards are maintained; evaluates maintenance, grounds, and housekeeping operations in areas of efficiency. Conducts periodic inspection of vacant apartments for market-ready condition.
  • Supervises and coordinates preparation of annual operating and capital budgets. Monitors and makes recommendations on budget performance and prepares monthly or quarterly summary report of same.
  • Reviews and approves expenditures within specified budgetary guidelines. Negotiates and/or evaluates contracts and makes recommendations.
  • Established/revises property management forms, reports, and manuals including updates, changes, and additions.
  • Prepares and conducts meetings as necessary.
  • Identifies and resolves problems in a timely manner; Gathers and analyzes information skillfully; Develops alternative solutions; Works well in group problem-solving situations.
  • Communicates changes and progress; Completes projects on time and within budget.

Customer Support:

  • Manages difficult or emotional customer situations; Response promptly to customer needs; Solicits customer feedback to improve service; Response to requests for service and assistance; Meets commitments.
  • Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; Demonstrates group presentation skills. Writes clearly and informatively; Presents numerical data effectively; Able to read and interpret written information.
  • Develop and maintain strong relationships with our customers to ensure optimal performance.
  • Work collaboratively, negotiate and engage with key customers to know all details and setting a suitable strategies or how we can optimizing costs without compromising quality.

Preventive Maintenance (Light):

  • Monitoring Carried out Regular Preventive Maintenance Checks for All Train Sets at all Systems.
  • Assist, guide and support Technicians and Project Engineers /Field Maintenance Engineers to work effectively and safely as a team to deliver high quality services in order to delivery.

Preventive Maintenance (Heavy):

  • Creating vision of scheduled maintenance
  • Managing budgets, monitoring and controlling maintenance costs
  • Managing maintenance procedures.
  • Managing stocks of supplies and equipment.
  • Liaising with client departments, customers and other engineering and production colleagues.
  • Designing maintenance strategies, procedures and methods.
  • Managing maintenance tools, stores and equipment.
  • Dealing with emergencies, unplanned problems.

Corrective Maintenance:

  • Managing Corrective Maintenance Team.
  • Develop required documents.
  • Develop troubleshooting manuals.
  • Lead the mainline team (Intervention Team).

System Engineering:

  • Supports office staff for all administration work, that includes processing and reviewing of progress payments.
  • Prepare correspondence documents related to assigned projects.
  • Manage and submit all reviewed contract documents to contract administrator for further approval.
  • Inspect work site, monitor project budget, schedule and project plan.
  • Managing project KPIs progress through maintenance management information system.
  • Ensuring the highest levels of systems and infrastructure availability

Reliability Growth:

  • Develop Failure Modes Effects and Criticality Analysis (FMECA) analysis
  • Perform Built-In Test (BIT) testability analysis
  • Develop mission reliability analysis
  • Support the development of teams in the investigation of issues
  • Familiarity with Fault Tree Analysis (FTA)
  • Experience with Failure Reporting Analysis and Corrective Action System (FRACAS)
  • Experience with maintainability demonstrations
  • Experience with Highly Accelerated Life Testing (HALT), Reliability Growth Testing (RGT), and Environmental Stress Screening (ESS)
  • Liaison with Integrated Product Teams (IPT) and suppliers for the R&M of assigned subsystems
  • The ability to obtain program access

Supplier Control:

  • Support Purchasing with the supplier approval process by assessing manufacturing/technology capabilities and Health, Safety and Environmental risks
  • Manage the root cause analysis and corrective actions process of supplier quality issues
  • Review documentation of inspection results across all areas. In appropriate functional areas, this refers to supporting inspection and test status requirements defined by regulations, engineering product specifications or Control Plans, PPAP approval or product warrant submission.
  • Develop improvement plan for control supplier, sub-supplier and warranty claims.

KPIs and Reporting:

  • Manage, coach and develop a high performing team that meets agreed objectives and which delivers best practice results, added value and continuous improvements. Provide leadership, direction, management and development to the team
  • Set department objectives/KPIs and review and assess ongoing performance of direct reports. Monitor the completion of tasks and ensure good performance and record on appropriate systems
  • Report on achievement of targets and identify any actions required.
  • Review, implement and update company records e.g. training matrices, performance reviews, risk assessments, then report it to higher management.
  • Communicate KPIs from the strategic annual plan so that each employee is aware

Human Resources:

  • Managing HRIS (Human Resources Information System).
  • Creating and/ or developing budget plan.
  • Develop evaluation plan which aligns with company’s strategy and vision.
  • Develop awareness of labor low and ER.
  • Developing Compensation and benefits plans.

HSE:

  • Developing and executing health and safety plans in the workplace according to legal guidelines.
  • preparing and enforcing policies to establish a culture of health and safety (Safety Procedures)
  • Evaluating practices, procedures and facilities to assess risk and adherence to the law.
  • Assist in the supplier approval process by assessing manufacturing/technology capabilities and Health, Safety and Environmental risks.

  • Educational Background: Faculty of engineering in governmental university
  • Professional experience: More than 5 years.
  • Language: Fluent English written and spoken. (any test score is preferred such as IELTS or TOEFL)
  • Computer skills: Proficiency in MS Office.
