Job Description

  • Provide administrative and clerical support to MNHD departments or individuals regarding all DMD activities.
  • Manage and maintain executives' schedules.
  • Schedule meetings and arrange conference rooms.
  • Alert DMD Head of Dept. about cancelations or new meetings.
  • Manage travel and schedule.
  • Handle information requests.
  • Prepare DMD Head of Dept.’s correspondence and mail.
  • Arrange for outgoing mail and packages to be picked up.
  • Prepare statistical reports.
  • Manage spreadsheets.
  • Greet and receive the visitors.
  • Prepare confidential and sensitive documents ensuring they remain secure.
  • Coordinate office management activities.
  • Determine matters of top priority and handle accordingly.
  • Prepare agenda for meetings.
  • Take and transcribe dictation.
  • Plan events and activities.
  • Maintain office procedures and policies.
  • Operate office equipment, such as photocopy machine and scanner.
  • Coordinate committees and task forces.
  • Relay directives, instruction, and assignment to executives.
  • Receive and relay telephone messages.
  • Maintain hard copy and electronic filing system and records ensuring information is organized and easily accessible.
  • Sign for UPS/Fed Ex/Airborne packages.
  • Help Design managers develop and maintain documents such as meeting minutes, drawings, specifications, approvals and related items and they also assist with file audits.

Job Requirements

  • Bachelor degree in any related discipline.
  • +7 years of related experience in a similar position.
  • Proven experience as an admin assistant or similar administrative role.
  • Excellent organizational and time-management skills.
  • Outstanding communication and negotiation skills.
  • Familiarity with MS Office applications and reporting techniques.
  • Very Good English.
