Job Description

Position Summary:

We are looking for a detail-oriented and proactive Fleet and Maintenance Coordinator to oversee and enhance the performance of our distribution fleet. This role focuses on ensuring vehicles are properly maintained, routes are efficiently managed, and fleet operations support the timely delivery of goods across the FMCG supply chain. The ideal candidate will bring hands-on experience in fleet management, maintenance scheduling, and logistics coordination within a fast-paced distribution environment.

Key Duties and Responsibilities:

Fleet Operations Oversight:

Manage day-to-day activities of the company’s fleet involved in distribution.

Allocate vehicles and plan routes to maximize delivery efficiency and minimize delays.

Track fuel consumption, monitor vehicle usage, and evaluate driver performance.

Maintenance Scheduling and Coordination:

Create and execute preventive and corrective maintenance plans for all fleet vehicles.

Liaise with external workshops and service providers to ensure timely repairs and maintenance.

Keep detailed maintenance records, service logs, and track spare parts consumption.

Regulatory Compliance & Safety Management:

Ensure all fleet activities adhere to transportation laws, safety standards, and licensing requirements.

Maintain updated vehicle documentation, including insurance, registration, and inspection certificates.

Perform regular audits and safety inspections to reduce operational risk and downtime.

Cost Control and Operational Efficiency:

Monitor and manage fleet-related expenses to identify areas for cost savings.

Analyze fleet performance indicators such as fuel efficiency, maintenance costs, and downtime.

Recommend and implement initiatives to extend vehicle life and enhance delivery consistency.

Cross-Functional Coordination & Reporting:

Collaborate with logistics, warehouse, and distribution teams to align fleet capacity with business needs.

Prepare and share periodic reports on fleet utilization, maintenance activities, and performance trends.

Support procurement planning for new vehicles or spare parts based on fleet data and operational demand.

Job Requirements

Qualifications and Experience:

Bachelor’s degree in Logistics, Mechanical Engineering, Supply Chain Management, or a related field.

Minimum of 5 years' experience in fleet and maintenance operations, preferably within the FMCG sector.

In-depth knowledge of vehicle maintenance and logistics processes.

Hands-on experience with light commercial vehicles and delivery fleet operations.

Proficiency in fleet management software and ERP systems.

Strong computer skills, particularly in Microsoft Office (Excel, Word, Outlook).

Desirable Skills:

Professional certification in fleet management or maintenance planning is a plus.

Strong negotiation abilities when dealing with workshops and suppliers.

Ability to manage multiple maintenance tasks and deadlines under pressure.

Excellent organizational and communication capabilities.
