Job Description
- Provide comprehensive administrative support to attorneys and legal staff, including managing calendars, scheduling meetings, and coordinating appointments.
- Prepare, proofread, and format legal documents, correspondence, and reports with a high degree of accuracy and confidentiality.
- Maintain and organize physical and electronic filing systems for legal documents, case files, and client records.
- Handle incoming calls, emails, and correspondence, directing inquiries to the appropriate parties and ensuring prompt responses.
- Assist with billing, invoicing, and time entry processes to support the firm’s financial operations.
- Coordinate travel arrangements, conference registrations, and logistics for attorneys and staff as needed.
- Monitor and order office supplies, ensuring the law firm is well-equipped for daily operations.
- Support the onboarding process for new hires, including preparing workstations and orientation materials.
- Liaise with clients, court officials, and external vendors to facilitate smooth communication and workflow.
- Ensure compliance with legal and ethical standards in all administrative processes.
Job Requirements
- Minimum of 3 years and up to 5 years of experience in an administrative role, preferably within a law firm or legal environment.
- Proven ability to handle sensitive and confidential information with discretion.
- Strong organizational and multitasking skills, with keen attention to detail.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and legal management software.
- Demonstrated ability to prioritize tasks and meet deadlines in a fast-paced office setting.
- Experience coordinating schedules, meetings, and travel arrangements.
- Familiarity with legal terminology and document management systems.
- Ability to work independently and collaboratively as part of a team.
