Job Description

ResponsibilitiesAdministrative Support:Manage the executive's calendar, schedule appointments, and coordinate meetings, conferences, and travel arrangements.Prepare and distribute agendas, presentations, and other materials for meetings and events.Record meeting minutes, track action items, and follow up on action items as needed.Handle incoming calls, emails, and correspondence, and prioritize requests for the executive's attention.Communication and Liaison:Serve as the primary point of contact for the executive's office, screening and directing inquiries and requests to the appropriate parties.Communicate effectively with internal departments, external partners, clients, and other stakeholders on behalf of the executive.Draft, edit, and proofread correspondence, reports, and presentations as needed.Maintain confidentiality and discretion in handling sensitive information and communications.Documentation and Records Management:Organize and maintain electronic and physical filing systems, ensuring easy access to documents and records.Manage the distribution, filing, and archiving of documents, reports, and other materials.Assist in the preparation and distribution of reports, memos, and presentations.Office Management:Coordinate office logistics, including ordering supplies, equipment maintenance, and managing office space.Oversee the operation of office equipment, troubleshoot issues, and liaise with IT support as needed.Ensure the cleanliness, organization, and security of the executive's office and workspace.Special Projects and Initiatives:Assist with special projects, initiatives, and research assignments as assigned by the executive.Conduct research, gather data, and prepare reports and presentations to support decision-making and strategic planning.Collaborate with other team members and departments to achieve organizational goals and objectives.QualificationsBachelor's degree in business administration, communications, or a related field preferred.Proven experience (3+ years) as an executive secretary, administrative assistant, or similar role.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.Strong communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities effectively.Discretion and confidentiality in handling sensitive information and communications.Ability to work independently with minimal supervision and as part of a team.Flexibility to adapt to changing priorities and deadlines in a fast-paced environment.
