Job Description

IntroductionDr. Abdallah Rothman is a world-renowned expert in Islamic Psychology and a leader in psychotherapy, counseling, training, education, leadership, and wellness. His work spans research, publications, public speaking, training practitioners, supervising clinicians, and consulting. We are seeking an Executive Assistant to support Dr. Rothman in establishing a new virtual office in the UAE and managing day-to-day administration across multiple workstreams.Job DescriptionThe Executive Assistant will play a pivotal role in ensuring the smooth operation of Dr. Rothman's professional activities. Key responsibilities include:Communication and Scheduling:Responding to emails professionally.Managing Dr. Rothman's calendar and scheduling meetings.Scheduling interviews with key personalities and taking meeting minutes.Travel and Event Coordination:Handling travel bookings, including creating and managing itineraries.Coordinating speaking tours and workshops.Administrative Support:Formatting Word documents and creating presentations.Managing the website and online booking system.Maintaining client records and an up-to-date electronic filing system.Basic bookkeeping and preparing documentation for the accountant.Filing and organizing important company documents.Research and Social Media:Conducting internet research on various topics.Finding contact information or profiles of individuals.Answering questions on Dr. Rothman's social media pages.The Ideal CandidateWe are looking for someone with considerable administrative and executive management experience, preferably familiar with Islamic Psychology. The ideal candidate will have:Experience in professional email communication, calendar management, and travel bookings.Skills in scheduling interviews, taking minutes, and coordinating events.Proficiency in document formatting, presentation creation, and website management.Experience in client record management, basic bookkeeping, and document organization.Ability to work virtually and independently, with a willingness to exceed expectations.Excellent communication skills and strong attention to detail.A creative, open, curious mindset with a bias towards action.Passion and commitment to self-development through the lens of faith.Experience in content creation, organizing ideas, developing educational course structure and learning outcomes, and planning educational materials.Technical KnowledgeProficiency in Google Suite and MS Office.Familiarity with virtual tools such as Zoom, Asana, Slack, Dropbox, Calendly, etc.
