Job Description

We are seeking a highly organized and proactive Executive Assistant / Secretary . The ideal candidate will be responsible for a wide range of administrative and executive support tasks and must be able to work independently with little or no supervision. The role involves managing schedules, coordinating meetings, handling communications, and overseeing various personal and professional tasks, Maintain office systems ensuring that all operations run smoothly.


*Key Responsibilities:*

- *Schedule Management:* Manage and maintain executives' schedules, including appointments, meetings, and travel itineraries.
- *Document Preparation:* Prepare and edit documents, reports, and communications.
- *Meeting Coordination:* Organize and attend meetings, take detailed minutes, and ensure follow-up actions are completed.
- *Travel Arrangements:* Prepare all necessary documents for travel visas and plan and book travel itineraries, including flights, accommodation, and transportation.
- *Personal Assistance:* Assist with personal tasks, errands, and appointments as required.
- *Household Management:* Coordinate household staff and manage related activities.
- *Expense Management:* Handle expenses, invoices, and financial records.
- *Office Organization:* Maintain and organize office systems, including files, databases, and records.
- *Confidentiality:* Handle sensitive information with the highest level of discretion and confidentiality.
 

Job Requirements

- Bachelor’s degree in Business Administration, Communications, or a related field.
- Proven experience of 1 to 4 years maximum.
- Excellent organizational and time-management skills.
- Strong written and verbal communication skills in English and French.
- Proficiency in iOS and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Flexibility.
