Job Description

Overview:
The Administration Supervisor for the Engineering Department within our company plays a crucial role in overseeing administrative functions, managing financial aspects of engineering projects, coordinating with vendors and external companies, conducting data analysis, and ensuring efficient documentation and warehouse operations. This multifaceted position requires a diverse skill set to support various aspects of the department's operations.


Key Responsibilities:
1. Vendor and External Company Relations:
• Collaborate with vendors and external partners for engineering-related services, equipment procurement, and contractual agreements.
• Negotiate terms, review contracts, and ensure compliance with established agreements and quality standards.
• Maintain relationships, resolve issues, and oversee vendor performance.

2. Financial and Accounting Oversight for Engineering Projects:
• Manage financial aspects of engineering projects, including budgeting, cost tracking, and reconciliation of expenses related to vendor services and procurement.
• Collaborate with project managers and finance teams to ensure accurate financial planning, forecasting, and reporting for engineering initiatives.

3. Document and Records Management:
• Develop and maintain a structured system for managing engineering and financial documents related to projects and vendor agreements, ensuring compliance with regulatory standards.
4. Warehouse Coordination:
• Manage documentation related to project-related inventory and vendor-related activities, ensuring accurate records of stock levels, purchases, and deliveries.
• Oversee documentation for equipment procurement, invoices, and warehouse-related activities linked to vendor transactions.

5. Data Analysis, Reporting, and Compliance:
• Utilize data analysis tools to interpret financial and project-related data for reporting and compliance purposes.
• Prepare comprehensive reports summarizing financial performance, vendor expenditures, and compliance metrics.
• Ensure adherence to regulatory and internal compliance standards.

6. Team Collaboration and Support:
• Facilitate communication and coordination between engineering, finance, and project teams regarding vendor relationships, financial aspects, and project documentation.
• Assist engineering managers with administrative tasks related to vendor interactions, financial compliance, and reporting.

 

Job Requirements

Qualifications and Skills:


• Bachelor’s degree in business administration, Accounting, or related field preferred.
• Demonstrated experience 7 - 10 years in administrative roles, financial management for engineering projects, and vendor relations.
• Strong negotiation skills, vendor management experience, and a solid understanding of contractual agreements.
• Proficiency in data analysis tools, document management systems, recordkeeping software, and financial analysis.
• Excellent organizational, communication, and problem-solving abilities.
• Ability to collaborate effectively across teams, manage multiple tasks, and adapt in a dynamic work environment.
• Familiarity with engineering project management, financial accounting principles, and regulatory compliance.
