Job Description
- Greet and welcome guests and clients as soon as they arrive at the office.
- Direct visitors to the appropriate person and office.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable.
- Receive, sort, and distribute daily mail and deliveries.
- Maintain and update appointment calendars and schedules.
- Provide basic and accurate information in person, via phone, or email.
- Handle incoming and outgoing correspondence, ensuring timely and proper handling.
- Manage bookings for meeting rooms and coordinate with other departments as needed.
- Assist in administrative tasks, such as data entry, photocopying, and filing.
- Maintain the confidentiality and security of client information.
- Perform other duties as needed.
Job Requirements
- Bachelor's degree in administration field or equivalent; additional certification in office management is a plus.
- Proven 3:5 years of work experience as a Receptionist, Front Desk Representative, or similar role.
- Must have a professional and representative appearance, acting as the front desk of the company.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Hands-on experience with office equipment (Telephone switch system, fax machines, and printers).
- Strong organizational skills with the ability to multi-task.
- Excellent verbal and written communication skills.
- Strong customer service orientation and ability to handle a busy environment.
- Ability to maintain a positive and professional demeanor.
- Fluency in English and additional languages are an advantage.
