Job Description

As Procurement Coordinator, you will mainly provide support to the Operations team’s day-to-day activities, mainly in procurement and logistics services. This includes but is not limited to procuring goods and services in accordance with USAID policies and standards.

 

Core Responsibilities 

  1. Assist with preparing Request for Proposals (RFPs/ RFQs) for the procurement of commodities and services in compliance with USAID regulations.
  2. Review vendors’ business profiles, performance references, and assist in evaluating and analyzing submitted bids.
  3. Prepare all required procurement documents including service agreements and purchase orders.
  4. Ensure compliance with USAID rules and regulations as well as Abt’s relevant policies and procedures, and best practices and principles.
  5. Ensure that vendors comply with delivery schedules specified in the procurement documents.
  6. Ensure that procured items are delivered against Delivery Notes to the requesting parties/staff in good operational condition and in accordance with the specifications indicated in the procurement documents.
  7. Review and verify invoices and relevant supporting documents prior to submitting payment packages to the Finance department.
  8. Follow up with Finance staff on payments to the vendors in due course. Also deliver tax deduction notices to vendors.
  9. Maintain/update an e-archive as well as filing system of all Operations’ documents.
  10. Any other tasks as assigned by the direct supervisor.

 

Job Requirements

  • Proven work experience as a Procurement Specialist or similar role
  • Good working knowledge of purchasing strategies.
  • Excellent communication, interpersonal and negotiation skills
  • Strong organizational, analytical thinking and problem-solving skills
  • Proficiency in Microsoft Office and with business application software, purchasing and resource planning systems.
  • A bachelor’s degree in business administration, supply chain management or a similar field preferred
  • At minimum, 4 years of work experience in a similar position.
  • In depth knowledge of and experience with Egyptian law and USAID regulations, particularly related to procurement.
  • Ability to communicate effectively in written English.
  • Must be prompt, accessible, resourceful, self-starter, results-oriented with a positive outlook.
