About The Job:

We are seeking a talented and highly motivated CEO Personal Assistant who will be aligned with our professional services organization and has a demonstrated ability to provide top-notch operational and administrative support to our CEO. 
Our ideal candidate is a team player who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, resourceful, and efficient. You exercise sound judgment in a variety of situations, have strong written and verbal communication skills, impeccable organization and attention to detail, and the ability to maintain balance among competing priorities.

Duties and Responsibilities: 

  • Manage the CEO's calendar and schedule meetings and appointments in a way that maximizes their time and productivity. 
  • Handle correspondence, including emails, letters, and phone calls, in a timely and efficient manner. 
  • Prepare presentations and other materials for the CEO to use in meetings and other events. 
  • Coordinate travel arrangements for the CEO, including booking flights, hotels, visas, and ground transportation. 
  • Act as a gatekeeper, filtering incoming requests and information to ensure that the CEO's time is used efficiently. 
  • Support the CEO's strategic initiatives by conducting research, developing new programs, and preparing for board meetings. 
  • Reminding the CEO of important tasks and deadlines  
  • Develops Filling system hard copy and soft copies  
  • Implementing and maintaining procedures/administrative systems  
  • Liaising with staff, suppliers and clients  
  • Taking meeting minutes  
  • Producing documents, briefing papers, reports and presentations  
  • Follows up pending subjects & report the feedback. 

Job Requirements

 

  • 0-1 year of experience in an executive assistant role, Personal Assistant or similar role .
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Discretion and confidentiality essential.
  • Flexibility in both the working hours & in dealing with the different situations.
  • Excellent computer skills.
  • Very time efficient, self-motivated, and organized.
