Job Description
- Manage & organize the daily administrative functions and keep the CEO informed and focused on priority issues.
- Acting as the first point of contact: Screening telephone calls, taking messages, and responding to queries.
- Manage all necessary business travel arrangements, schedules, transportation, airlines booking, and accommodation for the CEO.
- General office duties, such as organizing and maintaining files, answering phones, purchasing supplies, and operating office equipment.
- Managing CEO's personal and business diaries.
- Coordinating meetings, conference calls, and interviews.
- Contact other departments as necessary to gather information to prepare reports for the CEO.
- Preparing for board meetings, which includes drafting agendas, gathering and printing all necessary documents, and organizing refreshments.
- Forwarding or replying to emails and correspondence addressed to CEO.
- Attends meetings and documenting a professional meeting minutes reflecting all information relayed during the meeting accurately and follow up assigned projects status as required.
- Prepares and maintain agendas, action topics and issues list, and plans; ensuring professional follow up with other involved parties and preparing a status report for any assigned work projects as required.
- Performs any other miscellaneous job related to CEO Office duties.
Job Requirements
- Bachelor's Degree in Business Administration or equivalent.
- Proven management experience as an office manager for +5 years.
- Excellent time-management and organizational abilities
- Excellent business writing skills.
- Proficient in using Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Fluency in English is a must.
