Job Description

The Admin Coordinator will work as the focal point and link between internal departments and the front liner with external parties, including suppliers, vendors, mentors\consultants and partners. He\She will handle clerical and administrative duties, manage office processes, analyze workflow and ensure the office runs smoothly.

  • Maintain administrative workflow, including reporting, developing procedures and ensuring punctuality of the team
  • Manage the operations including office supplies, vendors requirements, logistical arrangements, office expenses and other requirements as they come up
  • Liaise administrative requirements with the relevant department and identify communication solutions
  • Handle the routine scheduling, phone calls and meetings appropriately, and keeping track of events calendar
  • Handle work process and reports, and keep track of office expenses
  • Perform the regular documentation and files archiving of the work
  • Maintain employees and startups records (administratively and financially)
  • Follow up on tasks and activities to ensure the successful completion
  • Coordinate the procurement process related to startups required activities
  • Respond to routine inquiries and requests
  • Oversee personnel and ensure behavioral appropriateness of all involved staff members.
  • Assist Program Coordinator in travel arrangements
  • Assist Program Coordinator in events management and logistics

Job Requirements

  • 1-2 years experience (fresh Graduates with a track record of internships or student activities are welcomed to apply).
  • Excellent organization skills along with the ability to prioritize tasks and meet deadlines.
  • Proactive and self-motivation are key to this position
  • Excellent knowledge of MS Office Suite (particularly Word, Excel, and PowerPoint)
  • Solid time-management abilities
  • Excellent communication and interpersonal skills
