Job Description
- Greet visitors and directing them to the correct person or department.
- Keeping the reception area tidy.
- Answer public enquiries.
- Assist in the planning and preparation of meetings, conferences and conference telephone calls.
- Direct visitors and candidates to the appropriate department or staff.
- Update appointment calendars and schedule meetings/appointments.
- Maintain an adequate inventory of Reception supplies.
- Redirect calls as appropriate and take adequate messages when requires.
- Receive, sorts and forwards incoming mail.
- Coordinate the pick-up and delivery of express mail services (FedEx, etc.) and directing them to suitable person or department.
- Sort and distribute posts.
- File and keep record of activities in the office for easy retrieval and review when due, and send it to the relevant department personnel.
- Inform When necessary relevant staff of visitors’ arrivals and/or cancellations of appointments.
- Provide administrative services for the Executive Directors in coordinating with Office Manager.
Job Requirements
- A Bachelor degree.
- 1-3 years of clerical experience.
- Fluent in English speaking, writing and listening.
