Job Description
- Establish and maintain an organized document control system for all project and company records.
- Receive, review, classify, and distribute incoming and outgoing documents in accordance with company procedures.
- Ensure all documentation is accurate, up-to-date, and compliant with internal and external standards.
- Track document versions, revisions, and approvals to maintain a clear audit trail.
- Coordinate with engineering, manufacturing, and project management teams to ensure timely document flow.
- Safeguard confidential and sensitive information by enforcing access controls and security protocols.
- Prepare and deliver regular reports on document status, outstanding actions, and compliance metrics.
- Support audits by providing requested documentation and ensuring records are easily retrievable.
- Train team members on document control processes and best practices.
- Continuously improve document management procedures to enhance efficiency and compliance.
Job Requirements
- Bachelor’s degree in business administration, information management, engineering, or a related field.
- 3 to 5 years of experience in document control, preferably within engineering, manufacturing, or construction sectors.
- Strong skills in data analysis and reporting using Power BI & Excel
- Strong understanding of document control standards, procedures, and best practices.
- Proficiency with document management systems (DMS) and related software.
- Excellent organizational skills and attention to detail.
- Ability to handle confidential information with discretion.
- Strong communication and interpersonal skills for cross-functional collaboration.
- Demonstrated ability to manage multiple priorities and meet deadlines.
- Experience working in an office-based environment.
- Familiarity with ISO standards and quality management systems is a plus.
