Job Description
The Order Management Executive will be responsible for handling end-to-end order processing activities. This includes coordinating with internal departments and external stakeholders to ensure timely and accurate order fulfillment, maintaining strong customer service, and ensuring alignment with Wilo’s global standards and local operational requirements.
Your Tasks:
- Process and manage the full order cycle from entry to final delivery, ensuring accuracy and timely execution.
- Generate purchase orders and coordinate with suppliers and logistics partners.
- Prepare and verify shipping documents, ensuring alignment with customs and bank requirements.
- Update and maintain ERP systems (e.g., SAP, Navision) with sales and purchase transactions.
- Liaise closely with Competence Centers, and Logistics to ensure smooth coordination.
- Monitor and track shipments to ensure on-time delivery and proactively address any delays.
- Handle customer communication, including delivery schedules and special requests.
- Support L/C (Letter of Credit) processing, ensuring all terms and documents are accurately followed.
- Prepare order management reports, sales forecasts, inventory reconciliations, and related data.
- Negotiate freight rates with forwarders to optimize shipping costs.
- Coordinate with the warehouse for timely preparation and dispatch of goods.
- Ensure full compliance with internal policies and external trade regulations.
Job Requirements
Your Profile:
- Bachelor’s degree in business administration, Logistics, or Supply Chain Management.
- 2–5 years of experience in logistics, order management, or supply chain coordination.
- Excellent command of spoken and written English.
- Strong customer service orientation with a proactive mindset.
- Excellent interpersonal, communication, and time management skills.
- Proficient in Microsoft 365 applications, especially Excel (advanced level is a plus).
- Familiar with ERP systems like SAP, Navision, or similar.
- Able to multi-task, manage priorities, and work under pressure.
- Knowledge of import/export operations and customs documentation is an advantage.
- Experience in handling letters of credit and bank-related shipment documents is a plus.
