Job Title: Executive Secretary to the CEO

Job Summary:
The Executive Secretary provides comprehensive administrative support to the CEO of a multi-activity company. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Executive Secretary acts as a gatekeeper, managing the CEO's schedule, communications, and ensuring the smooth operation of the executive office.
Key Responsibilities:
Administrative Support:
- Manage the CEO's schedule, arrange meetings, and coordinate appointments.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Handle phone calls, emails, and other communications on behalf of the CEO.
- Organize and maintain the CEO's files and records while ensuring confidentiality.
Communication:
- Serve as the main point of contact between the CEO and internal and external stakeholders.
- Draft and proofread emails, memos, and other communications.
- Facilitate effective communication between the CEO and the executive management team.
Meeting Coordination:
- Organize and prepare materials for meetings, including agendas, presentations, and minutes.
- Attend meetings, take detailed notes, and follow up on action items.
- Coordinate travel, accommodation, and schedules for the CEO.
Project Management:
- Assist in planning and executing special projects and initiatives.
- Track project progress and provide regular updates to the CEO.
- Conduct research and gather data to support decision-making.
Office Management:
- Ensure the executive office operates efficiently and effectively.
- Manage office supplies, equipment, and maintenance.
- Liaise with other departments and external vendors as needed.
Job Requirements
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field.
- Proven experience as an Executive Secretary, Administrative Assistant, or similar role.
- Excellent written and verbal communication skills.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Problem-solving skills and the ability to work independently.
- High level of professionalism and a positive attitude.
- Must be well-groomed and prioritize personal hygiene.
Preferred Skills:
- Experience working in a multi-activity environment.
- Knowledge of project management principles and practices.
- Familiarity with office management systems and procedures.
Working Conditions:
- Full-time position based at the company headquarters.
- Occasional travel may be required to support the CEO during business trips.
Languages:
