Job Description

Job Title: Executive Secretary to the CEO
Job Type: Full-Time

Job Summary:
The Executive Secretary provides comprehensive administrative support to the CEO of a multi-activity company. This role requires exceptional organizational skills, attention to detail, and the ability to handle multiple tasks efficiently. The Executive Secretary acts as a gatekeeper, managing the CEO's schedule, communications, and ensuring the smooth operation of the executive office.

Key Responsibilities:

Administrative Support:

  • Manage the CEO's schedule, arrange meetings, and coordinate appointments.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle phone calls, emails, and other communications on behalf of the CEO.
  • Organize and maintain the CEO's files and records while ensuring confidentiality.

Communication:

  • Serve as the main point of contact between the CEO and internal and external stakeholders.
  • Draft and proofread emails, memos, and other communications.
  • Facilitate effective communication between the CEO and the executive management team.

Meeting Coordination:

  • Organize and prepare materials for meetings, including agendas, presentations, and minutes.
  • Attend meetings, take detailed notes, and follow up on action items.
  • Coordinate travel, accommodation, and schedules for the CEO.

Project Management:

  • Assist in planning and executing special projects and initiatives.
  • Track project progress and provide regular updates to the CEO.
  • Conduct research and gather data to support decision-making.

Office Management:

  • Ensure the executive office operates efficiently and effectively.
  • Manage office supplies, equipment, and maintenance.
  • Liaise with other departments and external vendors as needed.

 

Job Requirements

Qualifications:

  • Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience as an Executive Secretary, Administrative Assistant, or similar role.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Problem-solving skills and the ability to work independently.
  • High level of professionalism and a positive attitude.
  • Must be well-groomed and prioritize personal hygiene.

Preferred Skills:

  • Experience working in a multi-activity environment.
  • Knowledge of project management principles and practices.
  • Familiarity with office management systems and procedures.

Working Conditions:

  • Full-time position based at the company headquarters.
  • Occasional travel may be required to support the CEO during business trips.

Languages:

  • Fluent in spoken and written English; interviews will be conducted in English.
