Job Description:

We are seeking an organized and proactive Operations Coordinator to manage various external tasks and coordinate operational activities. The ideal candidate will be responsible for handling paperwork related to the institution, managing procurement processes, facilitating communication and coordination of external training, and ensuring smooth operations across multiple departments. This position requires someone who is detail-oriented, capable of managing multiple tasks, and ready to travel as needed to ensure the successful completion of these responsibilities.

Responsibilities:

  • Receive and manage important paperwork related to the institution, ensuring accurate documentation and timely processing.
  • Oversee purchasing operations, including procurement of supplies and services, ensuring efficiency and cost-effectiveness.
  • Communicate with external training providers, coordinating schedules and resources for training sessions.
  • Act as a liaison between internal teams and external partners, ensuring smooth communication and execution of tasks.
  • Coordinate and manage logistics for off-site activities, including travel arrangements and external events.
  • Ensure all operational processes are carried out in compliance with institutional policies and procedures.
  • Monitor and report on the progress of operations, providing updates and solutions as necessary.
  • Manage records and maintain detailed logs of operations and transactions.
  • Be ready to travel as needed for external meetings, site visits, or training coordination.

Job Requirements

Requirements:

  • Bachelor's degree in Business Administration, Operations, or a related field.
  • 1-2 years of experience in operations coordination, procurement, or related areas.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Strong problem-solving skills and the ability to adapt to changing priorities.
  • Ability to maintain confidentiality and handle sensitive information.
