Job Description

Your JobOffice Manager will organize and coordinate administration duties and office procedures. You will create and maintain a pleasant working environment, ensuring high level of organizational effectiveness, communication and safety. We pride ourselves on being the partner of choice for our internal and external customers.What You Will DoSchedule meeting and appointments for the plant manager and Operation Director.Booking transport and taxisOrganize office operations and proceduresPlan in-house or off-site activities, like parties, celebrations and conferencesCoordinating domestic and international travel, including flight, hotel, and car rental reservationsOrganizing plant visits/tour for officials and external peopleMake office suppliers arrangements (water, cleaning, plants, candy machine, coffee machine) / purchasing office supplies and equipment and maintaining proper stock levels.Organize the office layout and order stationery and equipment/Maintain the office condition and arrange necessary repairsEnsuring that the invoices from suppliers are paid on timeLiaise with facility management vendors, including cleaning, catering and security servicesGreeting visitors and providing general administrative supportReceive and sort incoming mail and deliveries, and manage outgoing mailImplementing and maintaining procedures and office administrative systemsWok with European teams from Luxembourg, UK, Spain, Hungary and PolandOrganizing induction programs for new employees and assist in the onboarding process for new hiresEnsure that health and safety policies are up to date (work in collaboration with EH&S and HR), develop office policies and procedures, and ensure they are implemented appropriately.Creating presentations and other management-level reportsMaintaining good communication inside of the plant.Develop office policies and procedures, and ensure they are implemented appropriately.Who You Are (Basic Qualifications)Excellent communication skills in English.Good negotiation and relationship building skillsOrganizedProven experience as an Office Manager, Front Office Manager or Administrative AssistantFamiliarity with email scheduling tools, like Email Scheduler and BoomerangIT skillsAccountable and responsibleReliable with strong work ethic to deal with confidential mattersWhat Will Put You AheadExcellent time management skills and ability to multi-task and prioritize workStrong organizational and planning skills in a fast-paced environmentA creative mind with an ability to suggest improvementsBackground in hotel or tourism industry.Problem solving skills and ability to make things happenAt Koch companies, we are entrepreneurs.
