Job Description

Administrative Work

  • Prepare meeting agendas, attend meetings, take minutes and action notes when required and follow up with assigned team members.
  • Create and implement filing and documentation system for both hard copies and electronic documents.
  • Manage all travel Arrangements (issuing visa, booking tickets, hotel accommodations and airport pick up).
  • Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals. 
  • Greet visitors and handle their inquiries or direct them to the appropriate persons according to their needs. 
  • Prepare reports, memos, letters, presentations, and other documents. 
  • Conduct research, compile data, and prepare reports, memos, letters or presentations

Department's Support

  • Provide administrative support to the team with regards to; coordination for meetings, administrative support, presentations preparation, data collection, filing etc…
  • Partner with HR to maintain office policies as necessary and compile performance appraisal reports.
  • Act as a liaison between company and external services and products providers (like suppliers, advertising office or maintenance offices).

Office Management

  • Provide office supplies, stationery and necessary office furniture as per set office budget.
  • Responsible for the maintenance of all office equipment which includes air conditioners, printers, scanner, etc…  
  • Manage the office boy in terms of attendance, work performance and vacations.
  • Ensure that the office is always tidy and well organized.
