Job Description
Administrative Work
- Prepare meeting agendas, attend meetings, take minutes and action notes when required and follow up with assigned team members.
- Create and implement filing and documentation system for both hard copies and electronic documents.
- Manage all travel Arrangements (issuing visa, booking tickets, hotel accommodations and airport pick up).
- Answer telephones and give information to callers, take messages or transfer calls to appropriate individuals.
- Greet visitors and handle their inquiries or direct them to the appropriate persons according to their needs.
- Prepare reports, memos, letters, presentations, and other documents.
- Conduct research, compile data, and prepare reports, memos, letters or presentations
Department's Support
- Provide administrative support to the team with regards to; coordination for meetings, administrative support, presentations preparation, data collection, filing etc…
- Partner with HR to maintain office policies as necessary and compile performance appraisal reports.
- Act as a liaison between company and external services and products providers (like suppliers, advertising office or maintenance offices).
Office Management
- Provide office supplies, stationery and necessary office furniture as per set office budget.
- Responsible for the maintenance of all office equipment which includes air conditioners, printers, scanner, etc…
- Manage the office boy in terms of attendance, work performance and vacations.
- Ensure that the office is always tidy and well organized.
