Job Description
- Provide high-level administrative support for company leaders to ensure they can efficiently accomplish key tasks and company initiatives.
- Maintaining executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Acting on behalf of the president in the meetings of foreign clients
- Prepares meeting agendas, presentations, and minutes of meetings.
- Receiving and screening phone calls and redirecting them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (letters, packages etc.)
- Make travel arrangements for executives including itineraries, and agendas; and compiling documents for travel-related meetings.
- Handle confidential documents ensuring they remain secure.
- Prepare personal expenses and financial claims for the COO and top management team (invoices or financial statements)
- Maintain electronic and paper records ensuring information is organized and easily accessible. - Conduct research and prepare presentations or reports as assigned.
- Provides a bridge for smooth communication between the COO's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the COO to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
Job Requirements
- Bachelor Degree of any relevant major
- Minimum of 4 years of experience in the same field
- Excellent MS Office knowledge especially in Excel and Powerpoint Presentation
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Outstanding organizational and time management skills
- Excellent verbal and written communications skills
