Job Description
Maintain and update the document control system to handle all project-related documentation, including drawings, contracts, specifications, and correspondence.
Manage document receipt, registration, distribution, and archiving, ensuring traceability and compliance with project requirements.
Implement and enforce document control procedures and standards, ensuring alignment with company policies and regulatory guidelines.
Ensure accurate version control and secure storage of documents, avoiding duplication and maintaining consistency across all project records.
Coordinate with project teams, consultants, contractors, and other stakeholders to manage the submission, review, and approval of documents.
Monitor document workflows and deadlines, ensuring timely processing and communication of updates to relevant parties.
Prepare transmittals, submittals, and reports as needed to track document status and project progress.
Conduct regular audits of the document control system, identifying and resolving discrepancies or inefficiencies.
Support team members by providing guidance on document control software and processes, and facilitating training sessions if required.
Ensure secure access and availability of documentation for internal and external audits or reviews.
Job Requirements
Bachelor’s degree in any discipline.
3–5 years of experience in document control within the construction or real estate development industry.
Proficiency in document management systems (e.g., Aconex, Procore, SharePoint) and Microsoft Office applications.
Strong understanding of construction documentation standards, including drawings, RFIs, and transmittals.
Excellent organizational and time management skills, with attention to detail and accuracy.
Ability to work independently and collaboratively within fast-paced project environments.
Effective communication and interpersonal skills for coordination with diverse teams.
