Job Description
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The successful candidate will provide support to our management team and perform various administrative tasks. The ideal candidate must have excellent communication and interpersonal skills, be proficient in Microsoft Office Suite, and be able to prioritize and multitask effectively. This position requires a high level of professionalism and confidentiality.
Responsibilities
• Manage and coordinate executive schedules, appointments, and meetings, ensuring efficient time management and prioritization of tasks.
• Prepare and edit correspondence, reports, and presentations, ensuring accuracy and adherence to established formatting and style guidelines.
• Maintain and update confidential files and records, ensuring proper organization and accessibility for efficient retrieval.
• Coordinate travel arrangements and itineraries, including booking flights, hotels, and ground transportation, while considering cost-effectiveness and executive preferences.
• Act as a liaison between executives and internal/external stakeholders, facilitating effective communication and information flow.
• Conduct research and gather data to support decision-making processes and provide comprehensive reports and analysis as required.
• Assist in the preparation and coordination of events, conferences, and meetings, ensuring smooth logistics and timely execution.
Job Requirements
- Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
- Knowledge of office management systems and procedures
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be a plus
