Job Description

Job Purpose:

We are looking to hire a full-time administrator to support the team with our global data privacy program activities, data subject request (DSR) handling and general administration. 

General Administration

  • Schedule meetings, team events, training sessions, conference calls and Zoom sessions across multiple time zones, including booking of meeting rooms 
  • Maintain the EMEA Data Privacy intranet site with up to date documentation and contact information
  • Assist with regulatory authority registrations, payment and tracking
  • Assist with distribution, chasing and tracking completion of GDPO issued artefacts, such as updated versions of our Employee Privacy Notice or other documents requiring local signature
  • Assist with preparation of PowerPoint presentations
  • Ad hoc administrative duties as requested by the team

Data Subject Request (DSR) handling

  • DSR mailbox management – monitor and file incoming emails, communicate with key stakeholders, manage case folders and report spam
  • Support end-to-end DSR case management process, including but not limited to:
    • Receiving, logging and ongoing updating of each case on our internal DSR tracking tools from receipt through to closure
    • Validating identity of data subjects and representatives where applicable
    • Assigning cases to relevant step/process owners and monitoring responsiveness to ensure timely delivery against target task completion deadlines
    • Supporting with retrieval of responsive data alongside setting up secure data folders for each case with access granted to relevant case owner/s
    • Coordinating activities with external redaction vendor, escalating as necessary
    • Supporting review of responsive data post redaction by external vendor
    • Issuing instructions for action of the DSR to relevant stakeholders following the data review/ redaction efforts
    • Preparing redacted responsive data for secure delivery to the data subject where applicable
    • Correspondence with data subjects, as required
  • Maintain and issue accurate and comprehensive DSR dashboard reporting to key stakeholders 

Job Requirements

Qualifications and Experience

  • Reliable, diligent and pro-active self-starter with the ability to prioritise and act on own initiative, exercising flexibility when required
  • Keen interest in data and data management
  • Strong reasoning capabilities – ability to comprehend and interpret information
  • Accurate and exceptional attentional to detail
  • Effective communicator, confident when engaging with senior stakeholders
  • Very strong organisation and time management skills

Skills / Experience Requirements 

  • 3-5 years demonstrable experience within a corporate environment, including following complex / multi-stage processes
  • Excellent IT skills, with the following being particularly advantageous
  • Creating charts and data summaries using Excel formulas
  • Presenting Excel charts in PowerPoint form
  • Using corporate templates in Word and Powerpoint
  • Excellent English written and verbal communication skills, coupled with a professional telephone manner and strong interpersonal skills
  • Experience or understanding of data subject requests would be advantageous
