Job Description
- Contractors & Compliance
- Follow up on the execution of tasks assigned to contractors within administrative buildings and company sites.
- Ensure compliance with technical specifications, quality standards, and scheduled timelines.
- Government Coordination
- Handle communication and coordination with relevant government authorities concerning administrative procedures.
- Ensure timely and proper completion of processes in accordance with regulations.
- Workforce & Service Supervision
- Oversee the performance of service workers through regular monitoring schedules.
- Prepare and implement daily workforce distribution plans across company sites.
- Ensure discipline, punctuality, and proper appearance of service teams.
- Facility Cleanliness & Landscaping
- Ensure cleanliness of factories, administrative buildings, and external roads.
- Supervise landscaping, greening, and environmental upkeep across all company locations.
- Inventory & Supplies Management
- Manage inventory of cleaning materials, office supplies, and cafeteria provisions.
- Conduct periodic stocktaking, prepare purchase requests, and monitor issuance of materials based on departmental needs.
- Resource Planning & Allocation
- Prepare daily workforce distribution plans and material disbursement requests.
- Process requests through the system and distribute resources according to actual consumption.
- Monitor adherence to company disbursement policies.
- Maintenance & Infrastructure
- Monitor regular and emergency maintenance tasks, including photocopier upkeep and toner supply.
- Coordinate with external maintenance providers for facilities maintenance and equipment repair.
- Follow up on the condition and operation of all buildings and infrastructure to ensure readiness.
- Mail & Shipping Management
- Manage and monitor incoming and outgoing mail files.
- Coordinate with shipping companies to ensure efficient and accurate handling of documents and packages.
- Scrap & Asset Disposal
- Monitor scrap sales and oversee disposal of decommissioned assets.
- Ensure compliance with company procedures to safeguard asset value and optimize resource use.
- Technical Devices & Equipment
- Oversee maintenance of technical devices (e.g., printers, photocopiers, office equipment).
- Coordinate with specialized service centers to restore equipment to optimal condition.
Job Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- Experience:
- 3–5 years of proven experience in administrative roles.
- Technical Skills:
- Very good knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Personal Skills:
- Excellent organizational and multitasking abilities.
- Attention to detail with a proactive approach to problem-solving.
- Strong time management skills with the ability to prioritize tasks effectively.
- Ability to work independently and as part of a team in a fast-paced environment.
