Work Location: Saudi Arabia
The Executive Secretary will provide high-level administrative support to the Executive Director and other senior staff at Zord and it's subsidiaries.
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Attend meetings and keep minutes
- Receive and screen phone calls and redirecting them when appropriate
- Organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks.
- Ensure all assigned administrative duties are carried on timely and efficiently.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Make travel arrangements for executives
- Handle confidential documents ensuring they remain secure
- Prepare invoices or financial statements and provide assistance in bookkeeping
- Help shipping department for preparing labels for product shipment
- Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
- Willing to travel & work from Saudi Arabia
- Excellent verbal and written communication skills.
- At least 3 years of experience in office management
- Fluent English
- Preferable below the age of 30
- Excellent organizational skills and attention to detail.
- Excellent time management skills with a proven ability to meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
- Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.
