Job Description
- Administration workflow & day to day division activities:
- Hardware store management
- Create and maintain systems for records management, documents and correspondences.
- Provide secretarial & administrative support to IT director
- Fix appointments for the IT director with both staff and external visitors.
- Attend meetings, take minutes, and when finalized; distribute the minutes on the attendees in order to take actions, each in his concern.
- Create, maintain and update filing system:
- Filling all related documents concerning the official suppliers & receiving requests of new suppliers.
- Reviewing (according to agreed standards), updating (according to new modifications) &Filling of the following Hardware Maintenance contracts, Voice Services Contracts, IT Services & branches contracts , Internet Contracts, UPS contracts and all other miscellanies contracts.
- Follow up the pending invoices with related departments until its settled & all documents cycle are closed and keeping a record of final settlements.
- Maintain a New Hardware purchasing:
- Creating records of all hard wares purchased
- Record warranty period for Hardware purchased.
- Follow up with technical Failure with warranty contracts.
- Generate Maintenance contracts in the end of warranty period
- Follow up with the hard wares replacement process& disposed document
- Make sure that all received requests are fulfilled with the required signatures:
- Requests of buying new Hardware
- Requests of replacing Hardware
- Requests of adding new users
- Requests of activating system options
- All other miscellanies requests
Job Requirements
- 3-5 years of experience
- Bachelor Degree
- Excellent knowledge of Microsoft Office (word, excel, PowerPoint)
- Excellent communication skill.
- Fluent English
- Well organized
- Multi Task
