Job Description
Communication Management: Manage the primary company email; filter incoming requests, draft professional replies, and ensure no urgent email goes unanswered.
Information Gathering: Proactively follow up with site engineers and project staff to collect daily/weekly reports, site photos, and progress updates.
Documentation & Archiving: Organize and maintain both digital and physical filing systems. Ensure that all project documents (Quotations, Submittals, Reports) are filed correctly and are easy to retrieve.
Meeting Coordination: Attend meetings with management, take accurate minutes (notes), and distribute "Action Items" to the relevant team members.
Internal Follow-up: Act as the "reminder" for the office; track pending tasks from other staff and ensure they are completed by the deadline.
General Admin: Handle scheduling, travel arrangements, and basic office management tasks.
Job Requirements
Required Qualifications:
Education: Bachelor’s degree in Business Administration, English, or a related field.
Language: Excellent written and spoken English (Essential for emailing international partners).
Technical Skills: Proficiency in Microsoft Office (specifically Outlook, Excel, and Word).
Experience: 2–5 years of experience in a similar role, preferably within the Construction, Engineering, or Contracting sectors would be appreciated in case applicant have it.
