Job Description
Administrative Coordinator responsibilities include supporting regular team operations, screening emails, phone calls and scheduling internal meetings. This role must reflect excellent organization skills along with the ability to prioritize tasks and meet deadlines.
Ultimately, this role provides administrative support to all soft service staff and ensure all daily procedures run smoothly.
Duties are varying between projects, but generally the focus is on providing reports, logs and presentations for the entire projects on monthly basis.
Job Requirements
Deliver all updates/regular data for services inside multi projects: Projects updates, offers, reports, plans (including Consumables, Equipment, tools) and any new assigned projects.
- Managing and routing HK mailbox, phone calls appropriately
- Reporting on monthly expenses/revenues
- Maintaining physical and digital employee records
- Continually seeks to develop soft service policies and procedures to improve the current housekeeping operation.
- Prepares and follows up in coordination with projects HK section heads on incidents & housekeeping TT emails.
- Monitors customer complaints and reply with the corrective actions when necessary.
- Prepares and reviews daily, weekly & monthly services reports.
- Responsible to responding appropriately to emergencies or urgent issues as they arise in coordination with HK section head in each project.
- Distribute incoming mails to be handled with each section head and make sure to reply in due times
- Manage to send project orders to SCM and keep supplies/equipment logs
- Prepare presentations, spreadsheets and reports
