Place of work: Beirut, Lebanon or Cairo, EgyptMain Missions Working directly under the direction of the Regional Finance Manager : Procurement process and cost control:- Maintain the purchase order (PO) and mission order (MO) processes by ensuring all transactions are properly benchmarked, executed and tracked in line with company policy, including reviewing accuracy and completeness of documents submitted.- Coordinate local admin officers to comply with supplier identification process and review competitive quotes gathered for day-to-day business as well as bids or investment projects.- Support invoice approval process (TP Flow) and ensure quality and relevance of analytical data.- Track status of invoice payment (TP Flow approval, local accountant booking, payment) to ensure accuracy, completeness and existence of all invoices.- Daily reconciliation of bank statements and all AVS sales records, Service fees and visa fees, as well as developing required reporting templates to simplify data analysis and make reconciliations clearer.- Relieve the administrative staff during leave or absence on specific finance related roles by conducting office administration tasks, purchases and all other duties as may be directed. Bank relationship & cash management:- Be the main POC with local admin officers for bank relationship and lead the coordination with the banks to open or close accounts, register or remove users, implement new payment methods.- Execute and Improve monthly Cash Flow forecasts process, as well as monthly bank balance communication- Create and manage beneficiaries in the bank platforms and prepare bank transfers based on batches submitted by admin offices (after checking tracker) and on salary payment files prepared by local payroll provider (after HR approval)- Perform daily check of petty cash registration and inventories, ensuring purchases are business related and documented, including change returned in case of cash advances.- Reconcile bank statements daily for cash deposits, card collections, refunds, direct debits and remittances.Finance business support:- Take part in CAPEX Controlling and budget analysis for new projects by contributing to establish financial analysis and prospective PnL for all new projects.- Tracking all CAPEX expenditure against budget on monthly basis and office lease records to assist management with periodic information required on such records.- Support ZMs in CMT & forecast processes as defined by central finance- Managing costs through consistent analysis by sourcing data to reveal opportunities that eliminate non-value costs in line with management goals.- Monitor and support the communication between local admin and local accountant, keeping track of data and documents exchanged on shared drives (SharePoint).- Actively support Central and Regional Finance with transformation projects as part of the TLS Finance transformation journey- Support local admin officers and legal with contract management process. Local regulations & Tax & corporate governance- Control effective tax compliance and government interactions for locations covered;- Monitor and control the tax payment & Government interactions on monthly/ quarterly/ bi-annual and annual basis, by ensuring full compliance and elimination of all risks that may lead to defaults and penalties.Internal control and compliance:- Assisting to ensure strong Internal Control by establishing application of company Policies and Procedures, short/long term goals and objectives as well as carrying out periodic internal audit of locations under coverage.- Assist with coordination of periodic fixed asset reconciliation reports, ICQ compliance and CSR reporting.- Support Ops in improving ICQ compliance rates for locations covered, helping define and implement the mitigation plans, as well as collecting evidence of compliance. Audit and financial control:- Manage annual External Audit processes for locations covered, ensuring Group requirements are met- Support Central Finance team to reinforce financial control of legal entities, including support to corporate internal auditor for collecting evidence and executing the remediation plans.- Assisting with the overall financial operations of locations under coverage and ensure transactions are always correctly recorded and transferred to the external accountant in line with company policy- Reinforce the relationship with Local accountants of Month end and year end closing to ensure- Control all daily reports and reconciliations relating to AVS sales, Visa & Service Fees, Bank registrations, etc; to ensure quality, consistency and timeliness. ME&T Finance team:- Direct Finance POC for locations covered in absence of RFM due to leave, etc (Back up)- Work closely with local business teams and support functions- Be a proactive member of the TLS / ME&T finance team, contributing to best practice sharing and continuous improvement- Guide the admin and finance local teams in locations under coverage by ensuring coordination and up-to date training and knowledge.Perform other related tasks as may be assigned by management Education - Candidates are required to possess a University level or specialized qualification in finance or accounting (oversea education background is preferable) Previous Experience - Must possess a minimum of 4 years’ experience in accounting fieldOther :- Excellent proficiency in English and Arabic languages, both spoken and written.
