Job Description

Job Summary:The Surgical Coordinator role is responsible for planning and coordinating the operating room booking and scheduling system according to established surgical booking and scheduling guidelines, as well as the follow up of all unscheduled surgeries/ procedures. The Surgical Coordinator must also work with the relevant teams to ensure smooth throughput and coordination of all surgeries/ procedures. This role is also responsible for leading elective and emergency booking activities in adherence with DOH/DHA and MH regulations, standards and protocols.Responsibilities: Ensures optimum utilization of operating theatres through effective elective and emergency surgery scheduling practices and through communicating modifications or revisions to the daily operating theater schedule.Facilitates the development of the daily elective surgical schedule.Coordinates scheduling needs of the surgical team under the direction of and in collaboration with the physicians and the line manager.Plans and coordinates surgical booking and scheduling activities for the operating theater.Obtains, records and relays accurate information required for scheduling cases to appropriate physicians, unit managers, ancillary personnel and various inpatient and outpatient units.Expedites completion and distribution of the daily elective schedule and posts emergencies and add on surgeries to schedules as appropriate.Maintains databases of booking and scheduling data required to produce reports for operating theatre statistics and key performance indicators.Coordinates multiple operation theater procedures including but not limited to receiving and dispatching blood products, surgical specimens, porters, patient documents and preparing case preference cards.Checks and ensures the accuracy of procedure codes to ensure proper billing.Coordinates services and provides special instructions as requested by patient, surgeon or proceduralistResponsible for maximizing a department’s allocated spaces by scheduling all surgeries/proceduresAssists with financial clearance/ pre-authorization for any surgeries/proceduresEnters all updates, corrections and changes to scheduled surgeries/proceduresMaintains provider schedules for designated unit and coordinates multiple physician schedulesActs as a resource to all department personnel including surgeons, nurses, proceduralist, administratorsReviews all pre-admission testing data to ensure normalcy and completionReview any abnormal findings with surgeon/ proceduralistsQualifications: Clinical background or Diploma related to Nursing, Pharmacy or Radiology fieldPreferably with 3 years’ Operation Theatre (OT) experience or an equivalent combination of relevant education and/or experienceKnowledge of OT related information systems, protocols and proceduresStrong organizational and coordination skillsMust be detail oriented, organized and able to work under stringent deadlinesMust treat all information and data within the scope of the position with appropriate confidentialityProficiency with Microsoft Office suiteFluency in written and spoken English
