Job Description
- Establish and maintain an effective document control system for all project and company documentation.
- Ensure the accurate registration, classification, and archiving of documents in accordance with company policies and regulatory requirements.
- Coordinate the flow of documents between internal departments, external partners, and stakeholders to ensure timely distribution and retrieval.
- Monitor document revisions, updates, and version control to prevent discrepancies and ensure the use of current information.
- Conduct regular audits of document management processes to ensure compliance and identify areas for improvement.
- Provide training and support to staff on document control procedures and best practices.
- Prepare and generate reports on document status, outstanding actions, and compliance metrics for management review.
- Safeguard sensitive and confidential information by implementing appropriate security measures.
- Assist in the preparation, formatting, and submission of documents for regulatory or client requirements.
- Support the transition to digital document management systems and participate in process improvement initiatives.
Job Requirements
- Minimum of 5 years of experience in document control, records management, or a related field.
- Proven expertise in managing both physical and electronic document control systems.
- Strong attention to detail and organizational skills to handle large volumes of documents.
- Excellent communication and interpersonal abilities for effective collaboration across teams.
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in document management software and Microsoft Office Suite.
- Familiarity with industry regulations and standards related to document control.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Analytical mindset with problem-solving skills to address document discrepancies.
- Experience working in an office-based, on-site environment.
