Job Description

Administrative Support:

  • Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize materials for meetings, presentations, and reports.
  • Handle correspondence, including drafting emails, memos, and other communications.
  • Coordinate with other executives, departments, and external stakeholders to facilitate the CEO’s agenda.

Meeting Coordination:

  • Organize and attend meetings, taking detailed notes and ensuring follow-ups are completed.
  • Prepare agendas and distribute relevant documents prior to meetings.
  • Assist in managing and prioritizing the CEO’s commitments.

Project Management:

  • Assist in tracking and managing special projects and initiatives.
  • Conduct research and provide insights to support decision-making.
  • Collaborate with team members to ensure project deadlines are met.

Communication:

  • Act as a liaison between the CEO and internal/external parties.
  • Screen calls, emails, and other correspondence to prioritize and address inquiries appropriately.
  • Confidentiality and Discretion:
  • Maintain a high level of confidentiality regarding sensitive matters.
  • Ensure all interactions and communications reflect professionalism and integrity.

Job Requirements

  • Education and Experience:
    - Bachelor’s degree in business administration, Communications, or a related field preferred.
    - Proven experience as an executive assistant, administrative assistant, or similar role (3+ years preferred).
  • Skills:
    - Exceptional organizational and time-management skills.
    - Strong written and verbal communication abilities.
    - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
    - Ability to handle multiple tasks with a high degree of accuracy and attention to detail.
    - Strong problem-solving skills and the ability to anticipate needs.
