About the Job

At Esri NA, we believe that our people are our main asset, thus we thrive when they do. We are currently looking for an additional member to Esri NA family as an executive assistant to our CEO. The ideal person for the job will be an adaptive, proactive problem solver with exceptional communication skills ( both written as well as verbal) with thorough attention to details. He/She will have previous extensive experience supporting senior management/leadership team, working in an office environment, performing administrative duties while ensuring confidences related to high-level systems, processes, and operations.

Overall Objectives of this Role

  • Supporting the CEO, and providing support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Plan and orchestrate work to ensure the CEO’s priorities are met, organizational goals are achieved, and best practices are upheld
  • Manage professional and personal scheduling for CEO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
  • Manage, coordinate, and arrange CEO/ executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filing system and contact database
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Organize CEO communications and plan events, both internally and offsite.

Job Requirements

Required Skills and Qualifications of this Role

  • 7 to 10 years ( of which at least 3 years of experience in administrative role reporting directly to senior management in a multinational organization)
  • Excellent written and verbal communication skills in English and Arabic. Good command in French is an asset.
  • Solid time-management and planning skills with the ability to organize and coordinate multiple projects at once
  • Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player with a growth mindset who is willing to do what is needed to get the job done; adaptable and enjoys a challenge
  • Ensure keeping the company’s confidences
  • Ability to work under time constrains and well handling of stress management.

Further Preferred Qualifications

  • Experience in managing travel
  • Experience in overseeing budgets and expenses
  • Experience in developing internal processes for prioritizing urgent deliverables, managing events and filing systems.
