Job Description

Overall, the main purpose of the job is to resolve client problems by coordinating with various departments and divisions of the company. The job also involves supporting and assisting the head of the city agency in managing their area effectively. This includes addressing the needs of the population, maintaining architectural standards, monitoring violations, and ensuring compliance with company standards. The objective is to manage the area in a courteous, efficient, and unobtrusive manner while aiming to increase customer satisfaction with the city's services and lifestyle.

  • Assisting customers in solving problems related to unit management and regular maintenance efficiently and promptly, while prioritizing customer satisfaction by actively listening to their suggestions and complaints.
  • Grouping customers logically, assigning individual agents as guardians for each group, and managing daily navigational traffic to ensure the smooth functioning of services in the area, as well as addressing any violations that may occur.
  • Balancing and addressing violations promptly, while following legal procedures in coordination with relevant departments such as the Conservation Department, Architectural Layout, Security Department, and Technical Modifications.
  • Developing workflow methods, creating plans for each period, and continuously evaluating them to mitigate recurring customer complaints and enhance satisfaction with the way of life in the region.
  • Achieving the targets set in the action plan outlined by the district head, implementing the objectives, and providing periodic reports to improve performance measurement indicators.
  • Coordinating with the Security Department to maintain public peace and protect private property from harm and destruction, thereby promoting security services in the region.
  • Collaborating with external companies involved in region management or specific customer issues to streamline workflow processes and minimize inconvenience.
  • Developing strategies to ensure compliance with residential bylaws and regulations, safeguarding the city's structure, architectural layout, and safety of buildings.
  • Conducting regular inspections and visits to monitor progress, reviewing the protection system, and prioritizing safety and personal health according to an agreed-upon schedule.
  • Proposing advanced solutions to improve the region's heating system, rationalize expenses, and control costs to enhance overall efficiency.
  • Creating an annual budget plan for the administration, closely monitoring expenses, and participating in cost rationalization efforts to optimize the use of resources and increase returns.
  • Coordinating with external companies, Madinaty Energy, and agricultural entities regarding work implementation in the region and documenting procedures for clients.
  • Reviewing rental levels in the area and collaborating with relevant departments to establish suitable rental rates for the population.
  • Providing free services to residents and customers, directing them to the appropriate department or employee, and ensuring their satisfaction.
  • Taking prompt and appropriate actions and decisions in critical cases and promptly informing the competent administration.
  • Reviewing employee evaluations and promotions in accordance with the approved policy.
  • Monitoring the removal of waste resulting from finishing units and maintenance of public and private gardens by coordinating with agriculture maintenance companies to maintain the area's cleanliness and prosperity.
  • Maintaining client documents, agreements, and records both electronically and manually for proper management and easy access.
  • Participating in cost control efforts and optimizing tool usage to enhance overall efficiency and cost-effectiveness within the organization.
  • Ensuring compliance with architectural standards and safety procedures during fieldwork, preventing unauthorized architectural changes, and reducing risks.

Job Requirements

Education and Experience:

A bachelor's degree in a relevant field such as business administration, management, or a related discipline is preferred.
Proven experience in a similar role, preferably in property management, customer service, or a related field.


Communication and Interpersonal Skills:

Excellent communication skills, both written and verbal, to effectively interact with customers, colleagues, and external stakeholders.
Strong interpersonal skills to build rapport with clients, handle complaints, and address customer needs.
Active listening skills to understand customer suggestions and complaints and take appropriate actions.


Problem-solving and Decision-making:

Ability to identify and resolve problems promptly and efficiently.
Strong analytical and critical thinking skills to evaluate situations, make informed decisions, and implement effective solutions.
Capacity to handle critical cases and make appropriate decisions in a timely manner.


Knowledge of Regulations and Compliance:

Familiarity with residential bylaws, regulations, and industry standards to ensure compliance and maintain the city's architectural layout and safety.
Understanding of legal procedures, especially related to violations and property management.


Customer Service and Satisfaction:

Commitment to providing exceptional customer service and achieving high levels of customer satisfaction.
Ability to handle customer inquiries, complaints, and requests in a professional and courteous manner.


Teamwork and Collaboration:

Proven ability to work collaboratively with internal teams, external companies, and various stakeholders to achieve common goals.
Strong teamwork skills to coordinate with different departments and ensure the smooth functioning of services in the area.

Meticulous attention to detail to identify violations, monitor progress, and ensure work is carried out according to safety and risk-reduction procedures.


Budgeting and Financial Management:

Familiarity with budget planning and monitoring to ensure adherence to financial plans and efficient expense management.
