About the Job

General Duties:

  • Like administrative assistants in other industries, real estate administrative assistants answer telephones and take messages; distribute incoming mail; operate scanners, facsimile machines and photocopiers; create documents, spreadsheets and presentations; complete expense reports and other accounting forms; and answer routine inquiries from clients, agents and brokers.
  • They also provide clerical support to agents during the sales process. This involves photocopying sales documents, scheduling closing dates and securing public information about a property.


  • Real estate administrative assistants perform marketing tasks to help sell homes and fill vacant rental properties.
  • These tasks include creating advertisements, posting photos and videos of available properties, producing brochures and fliers, planning open house events, scheduling property tours and answering questions about advertised properties.
  • The administrative assistant may have to gather information about people who are interested in buying or selling properties. He/She will be conducting daily cold calls to property owners to gather listings.

Knowledge, Skills, Abilities and Personal Characteristics:

  • Excellent communication and organizational skills.
  • Strong attention to detail; ability to perform duties with a high level of accuracy.
  • Must be self-motivated, resourceful, a proven ability to multi-task and operate successfully under tight deadlines and time pressures.
  • Demonstrates strong leadership qualities.
  • Ability to operate standard office equipment and follow office procedures.
  • Strong MS Office experience required.
  • Basic math skills (addition, subtraction, multiplication and division).
  • Literacy (e.g. must demonstrate good spelling and grammatical skills).

Preferred Qualifications:

  • Previous exposure to commercial real estate management.

Working Conditions:

  • Work performed in a general office environment.  May require availability for overtime during peak periods.
