• Job Details:Principal Responsibilities: Dealing with facilities for all office facilities issues. • Liaising with departments like procurement or IT to address any issues or support any requests. • Responsible to ensure Standard Office Procedures, Job Descriptions, License are updated and uploaded to the system. • Maintaining an up to date Business continuity plan under the supervision of the rep office head. • Arranging internal and external meetings, conference calls, lunches and client entertainment. • Arranging all travel arrangements for office employees and for visiting Line of Business Managers. (hotel , transportation) • Managing incoming telephone calls, taking telephone messages and highlighting urgent matters to the appropriate member of the team. • Maintaining customer and internal contacts database, and keeping it updated and maintaining engage records in terms of calendar and customer contacts. • Ordering stationery and other supplies and maintaining stock levels. • Booking courier and cars as needed. • Maintaining comprehensive and effective filing systems, including secure filing of confidential documents. • Responsible for handling any documents required for custom Duties, sales tax & insure proper communication. • Monitor staff attendance & vacations. Assisting & coordinating events & conferences by preparing facilities and caterer, announcement and invitations agenda preparation.
