- Job Details:1. Recruitment : Assist the HR manager and other staff as requested Provide administrative services for the Executive Director Responsible for effective and fast recruitment processes both internally and externally. Follow up and coordinate with recruitment channels ( agencies , newspapers , internet recruitments websites .. etc., Responsible for using all recruitment forms and get required signatures. Responsible for CV’s filtration. Proactive cooperation with other departments for interviews. Responsible for offers preparation and negotiation. 2. Payroll: Collect, process and communicate relevant data in a timely manner, prioritizing where necessary. Create and maintain accurate files and reports. Develop internal and external relationships to benefit the business. Perform daily payroll department operations. Manage workflow to ensure all payroll transactions are processed accurately and timely. Understand proper taxation of employer paid benefits. Issuing HR letters with salaries. Prepare job analysis, job evaluations and job classifications Management of KPIs. Perform compliances for unclaimed property payroll checks. Process accurate and timely year-end reporting when necessary. Handling all kinds of social insurance forms. Make sure payments are made on a monthly basis to the local authorities (Tax & Social insurance authorities) Preparing and reviewing personnel files. Handling Medical Reimbursement Cases through the medical company. Perform all payroll process on ERP system . Preparing, reviewing and calculating payroll registers. Handling all payroll issues. 3. Resignation: Perform Exit interview. Responsible for applying all resignation, firing procedures. Responsible for performing exit interview questioner. Support HRM with weekly (when required) update report and analysis on resignation, firing. Ensure compliance with the laws. Maintains personnel files in compliance with applicable requirements. Perform other related duties as required . 4. Training: Collect the training needs for each department manager. Review the training records for the employees and prepare a training plan. Providing the Introductory Training for any new employee Prepare employee training record for each employee and keep it in the employee’s file. Preparing a list of employees that are ready to take any external training. Select the instructor for the internal training according to the training subject. Preparing the approved training suppliers list. Inform the trainee(s) about the time and the location of the course. Offer periodical training programs to help workers maintain or improve job skills. Monitor, evaluate and record training activities and program effectiveness. Attend meetings and seminars to obtain information for use in training programs, or to inform management of training program status Coordinate recruitment and placement of training program participants Evaluate training materials prepared by instructors Devise programs to develop executive potential among employees in lower-level positions. Negotiate contracts with clients, including desired training outcomes, fees and expenses. Monitor training costs to ensure budget is not exceeded, and prepare budget reports to justify expenditures to HRM 5. Performance appraisal Collect employee’s appraisal monthly performance appraisal from all departments. Responsible for monthly analysis for performance appraisal. Monitoring employee’s performance appraisal Monthly report to HRM about performance appraisal 6. Personnel: Preparation of Letters & Faxes Ensure compliance with the laws Keeps employee records up-to-date Maintains personnel files in compliance with applicable requirements Processes personnel action forms and assures proper approvals Payroll procedures and per diem following up. Provide advice and assistance to staff and management on pay and benefits systems Solving and reporting employee’s requirements. Fill and monitor data on ERP system Following up employees contracts renewals, change status, social insurance, medical Insurance ...etc. Ensuring application of employee’s benefits. Handling employee’s Mobile business lines . Provide advice and assistance in developing human resource plans. Monitor daily attendance and send weekly report t to HRM with attendance analysis. Following up investigation requests.
