My responsibilities include but are not limited to:

• Direct & oversee the security team consists of 33 security guards distributed to monitor and report any activity noticed around the facility 24/7.
• Direct & oversee the general services team consists of 24 employees (Drivers & Office boy).
• Direct & oversee the workflow of company's cars consists of 20 cars, follow maintenance procedures, invoices verification and financial approvals.
• Direct & oversee the transportation co. to ensure the safety and suitability of workers & admin staff means of transportation.
• Oversee the workflow with the insurance company and compensation collection.
• Direct & oversee the workflow cleaning, landscape maintenance & pest control to maintain and ensure that the services is presented and developed as required.
• Direct, oversee the company's accommodation workflow, Maintenance, Contract Renewals & development.
• Direct, oversee and participate in the development of the Administrative Services Division work plan including the assignment, monitoring and review of work activities, projects and programs.
• Maintains workflow by studying methods; implementing cost reductions.
• Resolves administrative problems by coordinating preparation of reports, analyzing data, and identifying solutions.
• Manage the selling process of scrap materials from collecting offers, financial approvals, coordinate with the concerned dept. to issue the required GAFI certificates, etc. until the final disposal of the materials and ensure the cleanness of the area after finalization.
• Completes operational requirements by scheduling and assigning administrative projects; expediting work results.
• Manage all governmental activities and follow up on agreement procedures
• Assist in the development of short and long range plans.
• Coordinate activities with other departments and agencies.
• Using a variety of software packages, such as Microsoft Word, Outlook, PowerPoint, Excel, Access, etc., to produce correspondence and documents and maintain presentations, records, spreadsheets and databases.
• Assist Executive Director, Director of Development, Events and Marketing Coordinator, and Accounting Administrator.
• Working closely with various departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures.
• Promoting equality and diversity as part of the culture of the organization.
• Liaising with a wide range of people involved in policy areas such as staff performance and health and safety;
• Recruiting staff - this includes developing job descriptions and person specifications, preparing job adverts, checking application forms, shortlisting, interviewing and selecting candidates;
• Developing and implementing policies on issues like working conditions, performance management, equal opportunities, disciplinary procedures and absence management;
• Follow up all the administrative tasks (Receptionist/ Fax machine/ external visits/ maintenance management).
• Perform related duties as assigned.
