Schedule and perform word processing activities and formats. • Maintain and update on daily basis a complete electronic data base of incoming/outgoing CEO Correspondences in order to facilitate documents search. • Coordination between CEO Office and company departments in addition to sister companies. • Representing the company CEO at the Embassies to facilitate Visa issue & being the contact person to deal with any related issues such as presenting the company profile to be acknowledged at the embassies of the countries where the company has offices, branches and ongoing projects. • Provide Support to the CEO in all locations inside the country & abroad, different offices of the company group. • Responsible for operating and maintaining CEO office Unit , requirements, equipment, arrange for repairs & supplies when necessary. • Responsible for developing , implementing and updating office policies and procedures including scheduling CEO appointments, processing incoming & outgoing post. • Coordinate all travel arrangements for CEO such as hotel booking , flight tickets, Visa issue process, international transportation as required. • Prepare Personal Expenses sheets & monthly time sheets or any similar documents relative to the CEO. • Responsible for all sort of private & personal financial issues related to the CEO, such as bank accounts & statements, cheques, petty cash, Credit Cards transactions and different payments • Direct Supervision on the CEO driver , cars expenses & movements planning, in addition to follow up on the cars periodical maintenance & license periodical renewal process. • Follow up on activities & Documents in/out of the organization to ensure completion in a reasonable timeframe. • Provide feedback to Top Management on performance and/or process issues as delegated. • Provide interpretation as required in addition to a professional translation to various types of Management Documents (Arabic, English & Italian). • Coordinate all type of reservations for different social & formal events in addition to Program Plan. • Raise Purchase Requests to order the necessary supplies & requirements of CEO’s Office
