- Job Details: Oversee all aspects of general office coordination. Maintain office calendar to coordinate work flow and meetings. Interact with clients, vendors and visitors. Manage press as directed. Answer telephones and transfer to appropriate staff member. Open, sort and distribute incoming correspondence. Coordinate office services, such as billing and contract preparation. Setup and coordinate meetings and conferences including but not limited to: annual Meetings, customer appreciation events, etc. Assist with generation and distribution of press releases, newsletters, etc. Make travel arrangements for the CEO. Collect and maintain inventory of office equipment and supplies. Research, price and purchase equipment and supplies. Arrange for the repair and maintenance of office equipment. Support staff in assigned project-based work as needed. Obtain quotes for projects. Other duties as assigned by CEO, Creative Director, and staff. Add projects to project management software and manage workflow, including archiving of completed projects and keeping projects on task.
