- Job Details:1. Fully in charge of the meeting room & responsible for all supplies schedules & availability. 2. Organizing the office layout, cleanness and maintaining supplies of stationery and equipment. 3. Maintaining the condition of the office and arranging for necessary repairs. 4. Writing reports for senior management and delivering presentations, controlling correspondence, designing filing systems. 5. Keeps management informed by reviewing and analyzing special reports, summarizing information, identifying trends. 6. Diary management, travel itinerary, scheduling and event co-ordination. 7. Personal administration duties for directors. 8. Recording office expenditure and managing the budget. 9. Follows and implements all Company procedures and standards as stipulated in Company quality Management System (Q.M.S) without deviations. 10. Provide company giveaways occasional gifts and printouts. 11. Monitor and record long distance phone calls. 12. Liaise with other agencies, organizations and groups approved by Company. 13. Supervise staff (Office boys, cleaning agency), evaluate their performance, coaching and disciplining them. 14. Define procedures for record retention. 15. Ensure protection and security of files and records. 16. Transfer and dispose records according to retention schedules.
