Executive Secretary – GM Office SAVOLA GROUP - AFIA INTERNATIONAL “Took over the responsibilities of the Corporate Affairs Manager “: • Organize & manage agenda of Vice President. • Organize & manage monthly committee meetings of All Savola Group. • Act as a focal point in terms of all department meeting needs and those of the VP ones. • Co-ordinate all business affairs between the VP’s office and Head Office in Jeddah. • Handling all administrative tasks related to the Marketing Team. • In charge of all meeting/forum logistics inside and outside Egypt. • Liaise with HR personnel visa issuance, car rent, transportation & any other admin issues. • Performing various executive and administrative support duties that are highly sensitive and confidential. • Planning and coordinating arrangements for professional meetings and conferences. • Receiving and screening visitors and incoming calls, determining the priority matters, and providing alert messages to the Vice President accordingly. • Reading and screening incoming reports and correspondence; making preliminary assessment and organizing documents. • Researching, compiling, assimilating, and preparing sensitive and confidential documents, and briefing the Vice President regarding content. • Reviewing, proofreading, and editing documents developed for the signature of Vice President. • Organize & manage agenda of Vice President’s calendar to arrange meetings, appointments, and conferences. • Making travel arrangements, preparing itineraries, compiling, and maintaining travel records. • Recommending actions to be carried on office expenditures like supply and equipment needs. • Liaise and communicate efficiently with business partners, Head office and members of staff in Egypt and around the world. • Interact with other departments within areas of responsibility and develop solid working relationship with them. • Handle all incoming calls and visits to the Vice President‘s Office including high level officials. • Be Aware of Confidentiality and how to handle confidential correspondences and information. • Document Translation whenever Required. • Stay up to date with latest company data, records, corporate news and reports. • Disseminate information from the Vice President office to Heads of Departments and other employees. • Maintain Stock of office Stationary and supplies, and keep the office at an impeccable Presentation. • Handling all meetings arrangements for the Vice President. • In charge of the Monthly reports, making sure all departments present them in the same format and on due date. • Handle any other task as delegated by the Vice President and reminding him about timing of different meetings and arrange all information needed. • Performing related duties and tasks whenever assigned. • Organizing and checking daily agenda, answering phone calls and interacts with visitors. • Following up with the auditors who are covering our financial, tax and revenues activities. • Do all necessary preparations for internal and external auditing. • Festivals & conferences Organized by us : • Dealing with the Press & Monitoring all Media related to the General Manager’s Office • Prepare detailed proposals for events (timeline, contract terms, venues, suppliers, legal obligations, Staffing & budgeting). • Write press releases and/or briefs for maximum exposure for the events.
