Procuring different offers from different providers for those exams. Registering for the employees and coordinate payments being made in a timely manner by the finance department. Make sure exam cost is refunded in case of employee failure. Keep record of exam result and cost. 4) Organizational structure: Maintain a regularly updated organizational chart. Handle employee transfer requests and notify all concerned departments. 5) Medical refund: Keep a record of subscribed employees. Collect refund requests every two months before the 20th day. After the doctor reviews the prescriptions, I coordinate the refund with the finance department according to our policy. Keep track of subscription dates and consumed coverage. 6) Employee loans: Keep track of existing and new loan requests. Making sure the loan request is compliant to our policy. Get the required approvals for each loan request. Coordinate the payment through the finance department. Get a trust receipt signed by the employee upon the payment of the loan. 7) Entertainment: Handling different events such as employee farewells sometimes, outings, Ramadan charity and dish parties. 8) Promotions: Handling promotion requests from both employees and their managers. Coordinating a promotion review meeting with the employee and all related managers. Calculating their feedback result. 9) Performance appraisals: Sending performance appraisal sheets to the employees and then to their managers to collect the overall appraisal score. Attending appraisal meetings with managers for each employee. Preparing a consolidation sheet for all employee results to be sent to the HR manager, CEO for promotions to be implemented by me and the payroll specialist. 10) Employee resignation procedures: Holding an exit interview. Receiving resignation requests and sending employees the resignation template. Getting managerial approval for the resignation, handover plan and the last day. Emailing the different departments for any pending liabilities on the employee’s side before his or her departure and notifying them of his last day. Finalizing all resignation paperwork for the employee. Notifying the IT department of the employee’s departure to change his password or disable his or her account. 11) Employee hiring procedures: Have employee contracts signed by both the employee and the CEO. Send the employee an email with all required employment documents to be fulfilled before the 20th of the joining month. Holding newcomers’ orientation sessions in coordination with their managers and the IT department. 12) Recruitment coordination: Guide interviewee’s upon their arrival. Providing them with employment applications and required exams. Correct and mark their exams and summarize them along sides with the interview results and comments. 13) File keeping: Maintain current, prospective and previous employees’ files. Undergoing audit reviews. Providing employees with a documents requesting form whenever they urgently need any of their personal documents temporarily.
