- Job Details:• Preparing the arrival of the rig by sending local crew members to the rig base after obtaining their visas, organizing the POB list with the OIM, coordinating the legal documentation for the on board crew prior to the rig’s arrival in Egypt, getting all the approvals and authorizations for the foreign crew entrance to Egypt • Responsible of the bi-weekly crew change and mobilization • Coordinating with the hotel where the crew overnights before going offshore or home • Arranging all means of transportation for the crew – ground or air • Coordinating with PAS (Petroleum Air Services) in regards to the fixed wing that transfers the crew to Alexandria and back every crew change • Coordinating the chopper schedule with the MaxMarine agent and with the Client (in this case was TOTAL) • Coordinating with the OIM and the Radio Operator in terms of 3rd parties or visitors needing to go onboard the rig • Sending the local crew change list and the catering staff change list to the OIM prior each crew change • Communicating to our local contractor the OIM’s requirement in regards to issues concerning the local crew • Responsible for crew travel arrangements and official paperwork • Screening CVs and selecting suitable candidates as per the Superintendent’s instructions • Revise and update the monthly timesheets for the rig personnel nationals and expats • Prepare and update the monthly headcount report of all the employees in the office, yard and rig • Collect and file employees’ timesheets, training certificates, and legal documents • Maintain and keep up to date personnel records including certificates, training and development, performance evaluation, vacations, penalties and rewards • Support in employment and hiring activities • Handle all personnel activities, social insurance, medical insurance, employees’ files, and labour office work. • Prepare flight bookings for the weekly crew change schedule in coordination with the head office in Malta • Maintain and update the Crew Change Planner with the hitch schedule for each crew member • Prepare reference letters, merit increase announcements, safety awards, bonuses, etc. • Coordinate and arrange logistics for crew members, visitors and 3rd party personnel in terms of transportation, accommodation and flight bookings • Revise and update the holidays and extra days for the base and yard personnel • Apply and obtain entry visa pre-approvals for certain nationalities and issue/renew work permits for office expat staff • Organize meeting/conference rooms and events in venues such as five star hotels for training sessions, seminars or annual budget review meetings • Organize for the departure and mobilization of the rig in terms of collecting official documents needed for the immigration clearance of all personnel on board the rig, etc.
