Duties:
1. Administrative Duties:
- Helping CSS Presidents & Handling his appointments, calendar& meeting.
- Obtain CSS President signed approvals for the CSS contracts, documents, decisions, checks and important documents.
- Arranging and coordinating CSS President Business Traveling process & staff traveling procedures.
- Responsible to handle required KSA Visas, dealing with Tasheel Company & MOAFA website to submit Invitations requests.
- Making monthly reports showing and monitoring Administration department progresses.
- Managing Administration Department staff duties and performance.
- Overseeing the flow of work within CSS, coordinating communication between departments.
- Designing & Managing all CSS documents and Filing System.
- Designing & implementing the archiving system to secure all documents.
- Responsible for CSS Legal Documents.
- Handling annual General Assembly meeting (invitations, communicate with Shareholders & BOD members) helping in preparing BOD reports with Mr. President.
- Attending Agents & Partners events & Committees on CSS behalf such as Microsoft, ITIDA, CIT, Eitesal.
- Communicating with CSS Agents and handling the company projects with them (such Export IT, MSEs projects, CPS & Commercial business trips), coordinating and preparing the requirements documents to be submitted on time.
- Monitor office supplies through coordination with different vendors to provide high quality.
- Keeping effective correspondences & deliveries flow in order to ensure that all correspondences are sent or received in time
- Reviewing CSS contracts and partnership agreements, and its renewals.
- Handling CSS contracts Screen using CSS internal system ((format, scan and attach them to contract screen then archive the hard copy in its file)).
- Updating Company profile,
- Handling CSS printings.
- Maintain control of the Petty Cash.
- Auditing Employees Expenses and receive its related documents form the employees, Updates rates for the new areas.
- Responsible for delivering different administrative services through paying expenses on time (rental cost, telephone lines, electricity) to ensure sustainability of services.
- Sharing and processing the legal and administrative procedure of New KSA company foundation.
2. Human Resources and Personnel Duties:
- Manages human resources operations.
- Handling social events and activities and complements for both employees and clients.
- Managing Medical insurance affaires.
- Responsible for CSS Employee handbook, new rule.
- Update CSS organization chart.
- Preparing HR letters.
- Recruitment
- Managing several routes to obtain required CVs, screening and shortlist the matched ones.
- Handling interviews dates, meetings & Exams.
- Preparing and handling Job offers & job descriptions.
- New hires orientation & Assistance.
- Training:
- Handling the staff training needs and required exams certificates.
- Coordinating with training & Tests centers.
- Conducted Taine & Hire Project 2015 (Emirate project through ITIDA).
- Personnel:
- Managing CSS employee screen, data base and handing their official papers.
- Employment contracts and Social Insurance forms (1, 2, 6&7).
- Control Employees’ attendance reports, vacations and monthly HR reports. Maintain the company’s holidays, following up employees' vacations and finger prints.
- Auditing the time sheets for the staff.
