- Job Details:Dealing with various customers globally by sending and receiving daily emails and telecoms around the clock. Coordinating with the vessels-owners-local authorities and local suppliers for all vessel requirements. Coordinating for crew change-ticketing-spare parts-local provisions-bunkering-luboils-freshwater supply. To ensure that all appointments are handled without delay and assigned to Local Operations To assist and support the Ships Agency group on administrative, technical and commercial issues. Assist with conceptualizing and pricing of SARD Agreements together with Sales. Manage customers updated contracts rates and pricings. Register and follow up customer complaints; Collaborate with Sales Managers and Ships Agency Managers to secure growth on existing business; Filter correspondence based on commercial value for WSS (point actual business, real/detailed requirement, proactively retrieve market information Prepare and participate together with Sales Manager (if needed) in business reviews with most profitable customers; Suggest process improvements based on efficiency, productivity or cost effectiveness gains; Ensuring that all relevant transactions for the payments under my charge are properly transcribed, checked and posted to the accounting system in a timely basis; Follow up prompt payments from customers; Follow up and clear outstanding items in the accounts for companies under my charged timely; Checking all payments to suppliers/authorities to ensure payments are correctly and timely prepared and with proper supporting documents. Reviewing all invoices received by the local supplies in accordance with the quotation provided and the agreement rates. Updating Voss / Da Desk / Diabos Systems Proforma and revised disbursements issuance and ensure KPIs are met Ensure Proforma DAs are being accurately as initially quoted and sent in a timely manner. Ensure advance funding (approved by customer) is remitted correctly to local agent’s bank account at least 3 days before vessel arrival.More days to be taken into consideration if there are holidays and weekend days. Provide ships agency support and advice to customers, Customer Coordinators and Sales. To use customer specific information related to Ships Agency in order to pro-actively promote our products and services to customers and engage actively in finding solutions to customers challenges. To provide regular feedback on technical, service quality and commercial issues raised by customers to the Ships Agency Manager, Customer Services Manager and Sales. Responsible for up keeping good QHSSE (Quality, Health, Safety, Security & Environmental) practices as laid down by the company during your employment at all time To ensure that the employees are adhering to the company’s health and safety* requirements and use personal protective equipment (PPE) to ensure their own safety and the safety of our customers To follow up complaints/non-compliances through improvement/complaint system in place for WSS agents Reporting accidents, incidents, injuries, near misses, safety risks and issues of non-compliance with health and safety procedures according to internal procedure Developing the safety culture at own workplace and cooperating with others on matters relating to health and safety
